Working with document workflows

Stages in the Workflow

When the document is created and uploaded to the SharePoint site by the Originator, the workflow is triggered automatically. This happens because the URL of the SharePoint site and the name of the SharePoint list have been specified in the workflow. The fields in the workflow that need to be assigned values are SharePointList and SharePointSite.

The document then passes through the various stages defined in the workflow until it reaches the end of the business process, as shown below.

  1. The Originator starts the business process by creating the document and uploading it to the SharePoint site.
  2. The document then gets routed to Manager 1 for the first stage of approval. There is an approval loop called "Non-Expedited Approval Process" in the Manager Approval 1 swimlane. The properties of the loop are shown below.

  3. For documents, the value in the AutoLaunchOnCreate box under the Customer Change Request properties is set to "True," as shown below, because the workflow must be triggered the moment the document is uploaded to the SharePoint site. For forms, this value should be set to "False."
