Managing Winshuttle Foundation users and groups

Use the Users (Manage Users) page to:

  • Add new users individually or imported from Excel files, SharePoint groups, or Active Directory Groups.
  • View, edit, or delete Winshuttle users.
  • Change a user's assigned roles.
  • Export the list of users to a .CSV file.

  1. Under Users Type, select one of the following: All, Users, SP Groups, or AD Groups. (The default is All).

    Or, under User/Group Name, type a name or group.

  2. Click Search.

Adding users

  1. Open the Winshuttle User Governance home page.
  2. On the menu bar, click Users, and then click Add User.

  3. On the Create and Assign screen, select one of the following methods for adding user(s):

    Import Single User

    Enter information for a single user (name, department, etc.) and defined their roles.

    Username Example

    • username@domain.com (on premise)

    Import from Excel

    Import users from an existing Excel file, or click Generate File to download an Excel template that you can fill in and then upload.

    Note: The Excel template uses the comma as the list separator. If you are working in a language that uses a different list separator by default, change that setting to a comma in Control Panel > Language and Region > Region > Additional Settings before you generate the template.

    Import from SharePoint Group

    Import users from a SharePoint group. Specify the group name, select Roles, and assign a proficiency level.

    Import from Active Directory Group

    For v12.x, importing from Active Directory Group is completed in a single action. Configuring this import allows you to look through the targeted group and select users from the group to import. Note that updating users will require another import: users added after the initial import finishes will not automatically be added to the site, and users removed after the initial import finishes will not automatically be removed.

    For v11.x and earlier, complete the following steps: 

    Specify the group name, select Roles, and assign a proficiency level.

  4. Click Next.
  5. Under License Management, select any license(s) you wish to assign.
  6. If you haven't done so already, under Roles and Permissions, next to Roles, click in the field and then select the Roles and Permissions from the list that you want to assign to the added user.

  7. Click Next.
  8. On the Verify page, review or change choices as needed. Click Previous to go back and make changes, or click Next to continue.
  9. On the Summary page, click Done.

Additional notes about adding users in bulk

  • A job is created named 'UserCreation' on Manage Scheduled Jobs page where you can check the status of the job.
  • When a user is added to the system, that user will receive an email notification.
  • A log file process is saved in a library named Add Users Logs
     

Editing or deleting users

  1. In the list of users, next to any user name click the arrow, and then select Delete (to remove the user) or Edit to change the Roles and Permissions for that user.
  2. If you are editing a user: On the User Info screen, next to Roles, click in the field and then assign a role from the list.

    To remove a role, click the 'X'.

  3. Click Update User.

Description

Central Application Administrator

  • Can change Winshuttle Foundation settings.
  • Can view additional options under Winshuttle Foundation Settings.
  • Can configure site-wide User Governance options.
  • Can delete scheduled jobs.

Data Dictionary Administrator

  • Can edit and upload a data dictionary.
  • Can search the SAP data dictionary.
  • Can add tables to the SAP data dictionary.

Data File Reviewer

Can review data files, but cannot review script files.

Reports Administrator

Can create reports of licenses usage.

Script Developer

Script Reviewer

Can review and approve scripts before they are run.

Script Runner

  • Can run approved Transaction scripts to upload data to SAP.
  • Can run approved queries to download data from SAP.

System Runner

Can publish and run Web services.

User and License Administrator

  • Can manage a set of assigned licenses.
  • Can create, add, delete, and manage users.
  • Does not need to be licensed Winshuttle user.

Winshuttle Administrator

Highest level of permissions. Can perform any action on the site with regards to users and licenses.

JEM (Journal Entry Management) Developer Can create and submit JEM script files.
JEM Runner Can run approved JEM scripts to upload data to SAP.
JEM Script Reviewer Can review and approve JEM scripts before they are run in a production environment.
JEM Data Reviewer Can review and approve JEM data files, but not JEM scripts.
